Microsoft Teams

Microsoft Teams is one of our main communication hub. This is where we message, share updates, send files, and stay connected as a team.

1. Getting Logged In

  • Open Microsoft Teams (desktop app or mobile app)
  • Enter your company email and password
  • Follow prompts to complete setup

👉 Tip: Stay logged in on your phone for quick communication throughout the day.

2. Navigating the Main Dashboard

On the left-hand side, you’ll see:

  • Activity – Notifications and updates
  • Chat – Direct messages with team members
  • Teams – Group communication (this is where most work happens)
  • Files – Shared documents

👉 You will use “Chat” and “Teams” the most.

3. Sending a Message (Chat)

  • Click Chat
  • Select a person or click New Chat
  • Type your message
  • Hit Send

👉 Keep messages clear and direct. This replaces unnecessary phone calls internally.

4. Using Teams (Group Communication)

Click Teams

  • Select your shop or department
  • Choose the correct channel (example: Front Office, Techs, Management)
  • Post your message

👉 Always post in the correct channel so everyone stays organized.

5. Sharing Files and Photos

  • Click the paperclip icon
  • Upload file or photo
  • Send it in chat or a channel

👉 Use this for:

  • Photos
  • Estimates
  • Documents
  • Internal communication

6. Notifications & Staying Responsive

  • Check Activity tab regularly
  • Respond quickly when tagged or messaged
  • Turn on notifications on your phone

👉 Communication speed matters. Delayed responses slow the entire shop down.

7. Basic Expectations for Using Teams

  • Use Teams daily
  • Respond in a timely manner
  • Keep communication clear and professional
  • Use the correct channels
  • Share updates so the team stays informed
